Defensie | Resultaat gericht samenwerken en flexibel gebruik van faciliteiten en digitale hulpmiddelen helpen Defensie om doelmatigheid te verbeteren. PROJECTS MINISTRY OF DEFENSE | GSW Networked Cooperation at the Ministry of Defense The Dutch Ministry of Defense, consisting of more than 60,000 employees, is at the heart of society, is constantly changing and works closely with other ministries, departments and organizations. The introduction of the concept of Networked Cooperation (GSW) was a logical step for the Dutch Ministry of Defense to further improve mutual cooperation and responsiveness to stakeholders (Ministries, society). New Office Standard for the State In recent decades, people have started to work more flexibly. Partly as a result of this, offices are more often vacant. Within the government, including Defense, the average occupancy rate of offices is between 40 and 50 percent. Even during peak periods, the average occupancy often does not exceed 60 percent. The government then decided to discourage investment in office space and facilities by setting a new standard for the use of government offices. This standard assumes seven workplaces for ten full-time employees. The Defense organization also wants to make efficient use of available office space and is striving for the standard of central government. A reduction in workplaces saves costs and also an opportunity to modernize further, with possibilities for working independently of place and time (GSW, Revised Defense Master Plan, 2014). 'I am convinced that through result-oriented cooperation and flexible use of available facilities and digital tools, the efficiency and effectiveness of our organization has increased' . Erik Akerboom - Secretary General for Defense BACK TO PROJECTS Main reasons for introducing GSW were: Increase employee satisfaction and be an attractive employer. With GSW, the employee with his craftsmanship is central. GSW stands for talent development and better use of knowledge and skills for organizational purposes. Employees are also given more space to find a balance between work and private life. Increase efficiency with result-oriented working (result agreements for higher production and quality). Collaborate more effectively by making information more accessible and empowering employees to work smartly and with modern tools. Savings through more efficient use of available resources. Among other things, by making more efficient use of office workplaces and by reducing travel distances. Advice to Central Administrative Staff Nassau advised the Central Administrative Staff of Defense on the interpretation and implementation of Networked Cooperation on the basis of concepts such as result-oriented cooperation, flexible use of available facilities and use of digital means. In addition, Nassau developed a series of manuals for various target groups within the Ministry of Defense in collaboration with the Executive Staff and the Communication Department, in which the background, vision, added value of Networked Cooperation and implementation guidelines are explained in detail. Project Tata Steel | Een activity based werkomgeving die medewerkers flexibilteit biedt, ondersteuning geeft, motiveert en inspireert PROJECTS Tata Steel | Sustainable in every sense An innovative, flexible working environment for Corporate Communications & Public Affairs According to Site Facilities (SF) the existing 'cellular office' concept at Tata Steel was up for revision. Serious doubts were raised regarding the future-proofing of the office concept. The immediate cause for this was the relocation of a number of departments located in buildings elsewhere on the site to the main office (the 'Dudok huis' - named after the famous Dutch architect Dudok) which would lead to serious capacity problems. Furthermore Site Facilities wondered whether the existing layout of the work floors was fit for purpose and whether the current way of working was adequately supported. In addition, Site Facilities indicated that it had its doubts about the appeal of the existing work environment with regard to finding and retaining employees. Tata Steel With offices in 26 countries and commercial offices in more than 35 countries, Tata Steel is one of the most international steel producers in the world and one of the largest steel producers in Europe. Dudokhuis The Dudokhuis (1951), the main building on the Tata Steel site 1951, was designed by the Dutch architect Willem Dudok and his partner Robert Magnée. The main building consists of an elongated three-storey office building interrupted by an almost equally high glass gate giving access to the production site. Over the years, three more wings have been added to the back of the building, on the production side. Integral design approach Tata Steel's Corporate Communications & Public Affairs (CCPA) department acted as the pilot department for the development and realization of an innovative work environment concept using the activity-based design approach. Nassau, in collaboration with management and employees of CCPA, mapped out the ambitions and developed and realized an innovative, integrated and flexible work environment concept. The new concept enables CC&PA employees to easily collaborate and communicate, share knowledge and expertise and generate new ideas without physical and digital barriers. The concept gives employees the freedom to adapt the choice of workplace to the activities to be carried out. This supports communication, collaboration and dynamic working methods much better than before. Sustainable in every sense The new, activity-based environment is 'sustainable in every sense'. Better use is made of the available m2. There are more workplaces per m2 and the number of m2 per employee drops from 13.8 m2 to 9.3 m2. The number of employees who can work in the department increases by almost 40%, which makes it easier to anticipate further personnel growth without having to adjust the working environment. In addition, operating costs per employee have fallen sharply. In addition, it was decided to work 'digital by default', to greatly reduce the use of paper and to remove the paper archives from the working floors as much as possible. In this way, the department contributed to reducing the C02 footprint. BACK TO PROJECTS “We can use the new work environment any way we want. This way of working enables us to be more productive, more creative and more enterprising.” - Hank Poot - Head of Internal Communications Strip Products Mainland Europe, Tata Steel BACK TO PROJECTS
